Role Purpose

The FP&A Officer plays a critical role in supporting organizational decision-making through robust financial planning, analysis, and reporting. The role includes preparing budgets and forecasts, analyzing financial performance, developing management reports and dashboards, and serving as a finance business partner to program and operational teams. The FP&A Officer will ensure that timely, accurate, and insightful financial information is available to support effective resource allocation, cost control, and donor compliance.

This role goes beyond reporting to include financial modelling, performance analysis, and the proactive identification of risks and opportunities.

Key Responsibilities

Financial Planning, Budgeting & Forecasting

• Prepare, maintain, and monitor annual operating budgets, forecasts, and midterm budget revisions in coordination with budget owners.
• Participate in rolling forecasts preparation and revisions, incorporating updated assumptions, funding changes, and operational plans.
• Support budget owners through guidance, training, and financial advice to improve planning accuracy and accountability.
• Participate in scenario and sensitivity analysis to assess financial risks, funding gaps, and cost drivers.

Monthly Performance Analysis & Management Reporting

• Conduct monthly financial reviews, analyzing actuals versus budget and forecast, and providing clear variance explanations.
• Prepare and present monthly financial reports for departments, offices, and projects, highlighting trends, risks, and opportunities.
• Actively engage with program and operational teams to understand drivers of variances and recommend corrective actions.
• Monitor cost efficiency and spending patterns to support optimal use of resources.

Financial Modelling & Business Partnering

• Develop financial models to support management decisions, including cost projections, resource allocation, and funding scenarios.
• Serve as a finance business partner to non‑finance stakeholders, translating complex financial information into clear, actionable insights.
• Challenge assumptions and provide financially sound recommendations to support strategic and operational decisions.

Reporting, Dashboards & Systems

• Prepare and maintain financial dashboards and reports using financial systems (Sage Intacct, Microsoft D365) and tools such as Microsoft Excel and Power BI.
• Ensure accuracy, consistency, and timeliness of financial data across systems and reports.
• Contribute to automation and continuous improvement of FP&A processes, reporting frameworks, and data quality.

Donor & External Reporting

• Prepare accurate monthly, quarterly, and annual donor financial reports in compliance with donor agreements and reporting requirements.
• Support audits, donor reviews, and external reporting requests by providing financial analysis and documentation.
• Ensure alignment between internal financial reporting and donor‑specific financial requirements.

Capacity Building & Collaboration

• Build financial management capacity among finance and non‑finance staff through training, guidance, and ongoing support.
• Collaborate closely with finance, operations, programs, and leadership teams to ensure alignment between financial plans and organizational objectives.
• Uphold confidentiality and ethical standards in all financial matters.

Required Qualifications & Experience

Education

• Bachelor’s degree in Finance, Accounting, Economics, or a related field.
• CPA, ACCA (Level II or higher), or equivalent professional certification is an advantage.

Experience

• 3–5 years of progressive experience in financial planning, budgeting, forecasting, or financial analysis.
• Experience working in an NGO/INGO or donor‑funded environment is strongly preferred.
• Proven experience with financial ERP systems (e.g., Sage Intacct, Microsoft Dynamics 365 or similar).
• Demonstrated experience in donor reporting and compliance with international donor financial regulations.

Technical Skills

• Advanced Microsoft Excel skills, including financial modelling and complex analysis.
• Experience with Power BI, Power Pivot, Power Query, or similar reporting and visualization tools.
• Strong understanding of financial statements, variance analysis, and budgeting processes.
