Purpose of the role

 

To deliver a seamless employee experience by leading HR operational services across the employee lifecycle, including benefits administration, occupational health, immigration, HR governance, reporting, and employee services. The role ensures compliance, operational excellence, effective vendor management, and continuous improvement while partnering with internal stakeholders to provide efficient, people-centred HR support.

 

Key accountabilities

 

Onboarding Support

  • Coordinate the preparation and dissemination of new joiner announcements in collaboration with the Corporate Relations function prior to employees reporting to Uganda Breweries.
  • Deliver induction sessions and onboard new and existing staff on employee benefits, including the Medical Scheme, Retirement Benefits Scheme (RBS), Group Life Insurance, and Personal Accident Cover, ensuring employees understand their entitlements and enrolment requirements.
  • Ensure all new employees complete biometric enrolment on their first day of employment to facilitate timely access to company systems, facilities, and attendance management processes.

Data and Record Management 

  • Maintain employee records both physical files and electronic copies.
  • Data accuracy and maintenance on the prevailing HR system
  • Timely offboarding of exited staff off the benefits schemes

Benefits management

  • Coordinate the implementation of the annual Occupational Health (OH) plan in partnership with the Occupational Health Physician and Safety Managers to promote employee health and wellbeing.
  • Schedule, coordinate, and facilitate regular service review meetings with the medical scheme provider and insurance broker to monitor service delivery, resolve issues, and drive continuous improvement.
  • Oversee the effective management of the onsite clinic by working closely with the clinic administrator to ensure quality healthcare services are delivered to employees and service standards are maintained.
  • Partner with Supply and Demand Occupational Health and Safety (OHS) Managers to ensure compliance with Occupational Health and Safety Standard Operating Procedures (SOPs), maintaining up-to-date documentation and adherence across all sites.
  • Coordinate the organization’s response to public health and pandemic-related matters by ensuring relevant SOPs, employee communications, and pandemic care management plans are current and effectively implemented.
  • Manage the end-to-end administration of employee benefits, providing timely guidance and resolution of employee queries relating to medical insurance, retirement benefits, reward programmes, and other company benefits such as free issue, long service awards, and staff transport.
  • Administer monthly, quarterly, and annual employee benefit processes in accordance with company policies and contractual obligations, including free beer entitlement, union soap allocations, long service awards, and other employee benefit programmes.
  • Monitor employee benefit utilisation and administration to ensure compliance with company policies, service level agreements, and statutory requirements while maintaining accurate records and timely reporting.

Administration & Reporting

  • Manage end-to-end immigration processes, including work permit and visa applications, renewals, and employee eligibility documentation for employees and their dependants, in liaison with appointed service providers, Global Mobility, and relevant government authorities
  • Partner with the Reward team to administer employee benefit programmes, including the Employee Sharesave Scheme (ESS), ensuring timely communication, enrolment, and compliance with programme requirements.
  • Prepare and analyse monthly HR reports and dashboards, including leave liability, joiners, movers and leavers, medical scheme utilisation, and HR expenditure against budget, providing insights to support decision-making.
  • Coordinate the monthly Human Resources controls review process, ensuring the HR Controls Checklist is completed, reviewed, and updated in line with internal control and audit requirements.
  • Support the implementation, maintenance, and continuous improvement of Integrated Management Systems, including the Quality Management System (QMS), Food Safety Management System (FSMS), Environmental Management System (EMS), and Occupational Health and Safety Management System (OHSMS), within the area of responsibility.
  • Prepare employee reference and recommendation letters in collaboration with HR Business Partners, ensuring accuracy, consistency, confidentiality, and compliance with company policy.
  • Maintain accurate employee records and documentation relating to immigration, benefits, HR controls, and employee correspondence, ensuring compliance with statutory and organisational requirements.

 

Qualifications and Experience Required:

Qualifications

  • Bachelor’s degree in human resources, Administration
  • Post graduate Diploma in HR – Added advantage.

 

Experience

  • Excellent interpersonal skills and ability to work with people at different levels, including senior staff members.
  • Strong organisational and administrative skills
  • Working knowledge of HR systems and software.
  • The ability to develop trusting relationships with relevant stakeholders.
