BACKGROUND:
Medecins Sans Frontieres (MSF) is an Intemational independent medical humanitarian Organization that delivers aid to people affected by armed conflict, epidemics, natural disasters and exclusion from health care. MSF offers assistance to people based on need irrespective of race, religion, gender or political affiliation.
Medecins Sans Frontieres – Support Unit Kampala (SUKA) is looking to recruit a suitable candidate for the position below.

SUMMARY OF RESPONSIBILITIES:
Responsible for the day-to-day management of staff movements and associated processes according to MS’s standards and procedures and the local legislation in order to ensure the smooth running of MS’s activities.
KEY RESPONSIBILITIES:
Managing visas, plane tickets and associated required processes for the arrival and departure for both international staff and visitors to/from the country in connection with HQ. (headquarters).
- Coordinating the movements of staff (local and international) and related administrative formalities (passports, visas, per diems) with the projects and headquarters.
- Updating of movement-related tools and Mission contact information and their regular distribution (incl. movement lists and evacuation/ists).
- Responsible for sending information on movement restrictions, security rules, Security Guideline and the Welcome file to all new arriving staff/visitors to SUKA (Support Unit Kampala).
- Responsible for the preparation of per diems, modes of telecommunication, lodging and in collaboration with the HR Assistant allocation of guesthouse rooms to international stafl and visitors.
- Working closely with external partners to stay informed on policies and procedures related to movements, entry/work regulations (immigration, UN, airlines, INGO/NGOs, other MSF Operating Centers…)
Responsible for all administrative tasks required for personnel transiting through Kampala (inci. transportation, briefings, fin-ncial matters and lodging) Responsible for the filing of administrative doc nents according to MSF standards and local legislation and sending required documentation to HQ in a timely manner. - Is responsible for sending the required documents such: End of Mission Document (EOM), contract amendments, follow-up of inte tional staff leave
to HQ while respecting deadlines. - Is responsible for the proper archiving of administrative documents according to MSF standards and applicable country legislation
- Translates documents and / or interprets conversations if necessary.
- Any other duty as may be assigned by the supervisor from time to time.
- Committed and adhere to MSF Principles.
REQUIREMENTS:
Education: Degree in Business Administration, Public Administration, Office & Information Management, or Administrative Science
Experience: Minimum of three (3) years’ experience in similar roles. Previous working experience with MSF or other INGO is an asset.
Competences/Skills: Must be computer literate (word, outlook, excel). High level of organization and planning skills. High level of integrity and accountability. Results and Quality Oriented; Teamwork; Flexibility; Mobility Able to work with Multidisciplinary and Multicultural People and with flawless communication.
Language: English is essential. French is an added advantage
