About This Job:
Q-Sourcing Limited trading as Q-Sourcing Servtec is a manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Tanzania, Rwanda, and South Sudan.
On behalf of our client in the Renewable Energies Sector, we are looking for a competent, skilled, and experienced Procurement and Logistics Officer to work at the different locations.
About the Role The Procurement and Logistics Officer will play a key role in managing the procurement process, optimizing inventory levels, and ensuring efficient logistics operations. The role will support the timely and cost-effective sourcing, movement, storage, and availability of materials and equipment required to support the company’s solar projects and overall operations.
Key Responsibilities
Procurement Management
- Source, negotiate, and purchase goods, materials, and services required for solar projects, ensuring cost-effectiveness and adherence to quality standards.
- Develop and maintain strong relationships with suppliers, vendors, and contractors to secure favourable terms, competitive pricing, and appropriate lead times.
- Coordinate with internal stakeholders, including project managers and engineers, to determine procurement requirements and specifications.
- Review purchase requisitions and create purchase orders in accordance with company policies and approved budgets.
- Monitor supplier performance and address issues or discrepancies relating to delivery, quality, pricing, and service level
Inventory Management
- Maintain accurate inventory records and monitor stock levels of solar equipment, components, and spare parts.
- Forecast demand for materials and supplies based on project schedules, operational requirements, and historical consumption patterns.
- Implement effective inventory control measures to minimize excess inventory, stock-outs, and obsolescence.
- Conduct regular inventory audits and reconcile discrepancies between physical counts and system records.
- Coordinate with warehouse staff to ensure the proper storage, retrieval, and distribution of inventory items.
Logistics Coordination
- Coordinate transportation and shipping logistics for incoming and outgoing shipments of solar products, equipment, and materials.
- Arrange freight services, carriers, and customs clearance for international shipments, ensuring compliance with applicable regulations.
- Track the movement of goods in transit and provide timely status updates to relevant stakeholders.
- Resolve logistics-related issues, including shipping delays, damaged goods, and documentation errors.
- Identify opportunities to optimize shipping routes and transportation methods to minimize costs and delivery times.
Compliance and Documentation
- Ensure compliance with procurement policies, procedures, and applicable regulatory requirements.
- Maintain accurate records of procurement transactions, contracts, purchase orders, and vendor agreements.
- Prepare and review shipping documents, customs declarations, and import/export documentation.
- Assist in resolving legal or contractual issues related to procurement and logistics activities.
- Perform additional responsibilities as assigned from time to time.
Qualifications and Experience
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
- Proven experience in procurement, inventory management, and logistics coordination, preferably within the solar or renewable energy industry.
- Strong negotiation skills with the ability to communicate effectively and build productive relationships with suppliers and vendors.
- Proficiency in procurement software, inventory management systems, and Microsoft Office Suite.
- Knowledge of transportation regulations, customs procedures, and international trade compliance.
- Strong organizational, analytical, problem-solving, and attention-to-detail skills.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Strong commitment to ethical procurement practices and sustainability in supply chain and logistics operations.
