Position: Team Administrator

Location: Nyabirongo, Kasese District or any other company sites as required

Reports To: Business Analyst – Management Team

Employment Type: Full Time

Position Summary

The Team Administrator is responsible for supporting the export team and other departments as may be required from time to time on all documentation, data management, compliance processes, and coordination of relevant administrative activities. The role ensures accuracy, timeliness and completeness of all documentation to support efficient communication, processes and support to internal team members and clients and the internal team carrying out activities related to Exports. The position plays a key role in maintaining digital records, supporting SAP and logistics and preparing export files and reports.

Key Duties and Responsibilities

Documentation & Compliance

  • Maintain secure and organised filing systems — both digital and physical
  • Liaise with all relevant internal and external parties to ensure smooth information and document flow.

Data Entry, Reporting and Systems Support

  • Enter all relevant and required data and any other necessary information into systems accurately and in a timely manner.
  • Maintain and share any required weekly and monthly reports within the remit of this role to the team and management.
  • Maintain up-to-date records (electronic and physical) and assist with compliance reporting.
  • Identify data inconsistencies and support corrective measures.

Coordination and Communication

  • Coordinate closely with all internal departments to ensure smooth completion of work on time.
  • Ensure all written and verbal communication is to the highest possible standard, clear, concise and timely

Export Support

  • Complete all tasks assigned by the Business Analyst in relation to exports on time and to the highest level of proactivity and urgency.
  • Adhering to all required daily, weekly and monthly deadlines.
  • Ensure all data that is entered and shared is 100% accurate

Ownership and Accountability

  • Take ownership of assigned responsibilities, maintain high standards of accuracy and timeliness, and promptly address and correct errors or issues identified.

Qualifications & Experience

  • Degree in Business Administration or related field.
  • Minimum of 2–3 years’ administrative experience, preferably in export, logistics, agribusiness, or supply chain.
  • Experience in a fast paced working environment where the work done on a daily basis has a direct impact on business performance.
  • Proficiency in Microsoft (Excel and Word); experience with SAP Business One or RSM is an added advantage.
  • High attention to accuracy and ability to work with internal and external stakeholders to a high level of efficiency.
  • Strong communication skills and professionalism.
