Job Description
Hive Colab is recruiting a team to deliver the Youth Startup Academy (YSA 2.0), which incubates entrepreneurs in Uganda’s creative sector. YSA 2.0 is delivered in partnership with the International Trade Centre (ITC) under the project “Uganda: Enhancing Skills and Enabling Financial Inclusion for Young Women in the Creative Economy”, known as the CREATE Programme.
The purpose of YSA 2.0 is to strengthen the startup ecosystem for young entrepreneurs under the age of 35 in Uganda by providing comprehensive incubation services, networking opportunities and access to finance. Over the life of the project, 1,000 entrepreneurs will move through three incubation stages, from bootcamp to classroom training to incubation, with 450 progressing to the second stage and 180 to the third. The programme combines training, mentorship, grants (including film accelerator grants), pitch events and ecosystem engagement, delivered through more than 20 regional training events across Uganda.
We invite qualified, motivated and results-oriented individuals to apply for the project roles below. We are looking for professionals who demonstrate strong technical expertise, a collaborative spirit, integrity and a commitment to delivering results.
Safeguarding and Equal Opportunities Statement
We are committed to safeguarding and promoting the welfare of children, young people and adults at risk. All employees are expected to share this commitment and follow our safeguarding policies and procedures.
The successful candidate will be required to complete appropriate pre-employment checks, which may include references, criminal record checks where legally permitted, and verification of relevant qualifications and employment history. Checks will be proportionate to the role and comply with applicable legislation.
Application deadline: Thursday, 5 November 2026
Role Purpose
The Project Coordinator is responsible for ensuring seamless planning, coordination, and execution of all project activities across the three incubation stages, multiple cohorts, and regional locations. The role ensures that all operational components of the programme run efficiently, stakeholders remain aligned, and entrepreneurs receive a consistent and high-quality experience throughout the programme lifecycle.
This role is critical to managing the complexity of delivering large-scale, multi-stage incubation programmes involving training, mentorship, grants, and ecosystem engagement across Uganda.
Responsibilities
- Develop detailed implementation schedules for all project components, ensuring alignment with overall project timelines and milestones.
- Coordinate the execution of all incubation stages, including bootcamps, classroom training sessions, incubation activities, mentorship engagements, pitch events, and graduation ceremonies.
- Manage the scheduling and deployment of mentors, facilitators, and technical consultants across all cohorts and regions, ensuring optimal utilisation and alignment with startup needs.
- Serve as the central coordination point between the Project Lead, field teams, mentors, partners, and service providers.
- Track progress of all activities against approved workplans and proactively identify and address delays or bottlenecks.
- Oversee logistical planning and execution for all training events across regions, including venue coordination, participant management, materials preparation, and on-site support.
- Ensure smooth onboarding, progression, and transition of entrepreneurs across Stage 1, Stage 2, and Stage 3 of the incubation programme.
- Coordinate organisation of pitch events, mock pitch sessions, and graduation events, ensuring quality delivery and stakeholder participation.
- Maintain a centralised system for tracking all programme activities, deliverables, and responsibilities across teams.
- Support integration of entrepreneurs into the Ye Community platform and ensure consistent engagement.
- Work closely with the M&E Lead to ensure accurate tracking of participation, attendance, and activity completion.
- Support the preparation of operational updates, reports, and documentation required by the Project Lead and donor.
- Ensure compliance with project implementation guidelines, timelines, and operational standards.
Relevant Experience
- At least 3-5 years of relevant experience in project coordination, programme management, business incubation, entrepreneurship development, or a related field.
- Demonstrated experience coordinating multi-stage projects, including work planning, implementation scheduling, resource allocation, and tracking deliverables against agreed timelines.
- Proven experience managing training programmes, entrepreneurship support initiatives, accelerators, incubators, mentorship programmes, or enterprise development activities.
- Experience coordinating multiple stakeholders, including project teams, trainers, mentors, consultants, implementing partners, and government or private-sector institutions.
- Demonstrated ability to organise regional training events, workshops, bootcamps, pitch events, and other programme activities.
- Experience preparing implementation plans, activity trackers, progress reports, and operational updates.
- Experience working on donor-funded projects and familiarity with donor reporting and compliance requirements is an added advantage.
Key Deliverables and Reporting
- Comprehensive implementation schedules covering all stages, cohorts, and regions.
- Detailed activity trackers capturing progress against milestones and deliverables.
- Attendance records and participation reports for all training sessions, mentorship engagements, and events.
- Pre-stage operational briefs outlining readiness for each incubation phase.
- Real-time operational updates during implementation of each stage, including issue tracking and resolution actions.
- Post-activity reports summarising execution, participation, challenges, and lessons learned.
- Coordination reports capturing mentor and facilitator deployment and utilisation.
- Documentation and reports for pitch events, mock pitch sessions, and graduation ceremonies.
- Inputs into quarterly narrative reports, including operational insights and execution performance.
- Continuous communication updates to ensure alignment across internal teams and external stakeholders.
