Position: Front Desk Receptionist / Guest Relations Officer 2
Department: Front Office
Reports To: Front Office Supervisor / Hotel Manager
Job Purpose
The Front Desk Receptionist serves as the face of the hotel and is responsible for creating a positive first impression for guests. The role involves managing guest arrivals and departures, handling reservations, responding to inquiries, processing payments, and ensuring excellent customer service throughout the guest’s stay.
Key Duties and Responsibilities
* Welcome guests warmly and professionally upon arrival.
* Conduct efficient guest check-in and check-out procedures.
* Receive, confirm, modify, and cancel reservations through various channels.
* Maintain accurate guest records and room allocation information.
* Answer incoming telephone calls and respond to emails promptly.
* Provide information about hotel facilities, services, local attractions, and transportation.
* Handle guest complaints and resolve issues in a professional and timely manner.
* Coordinate with housekeeping to ensure room readiness.
* Process payments, issue invoices, and maintain cash handling procedures.
* Prepare daily reports and occupancy summaries.
* Promote hotel services, packages, and special offers.
* Maintain confidentiality of guest information.
* Ensure the reception area remains clean, organized, and presentable at all times.
Qualifications and Requirements
* Diploma or Degree in Hospitality Management, Tourism, Business Administration, or related field.
* Minimum of one year of experience in a similar role is an added advantage.
* Strong interpersonal and communication skills.
* Proficiency in Microsoft Office and hotel management systems.
* Excellent customer service orientation.
* Ability to multitask and work under pressure.
* Professional appearance and positive attitude.
