Job Purpose
The Stores Assistant will provide exceptional service and support best practices in inventory control, storage management, coordination, analysis of data, and timely dispatch of supplies to support the Education and Sports Department.
Key Duties and Responsibilities
- Receive, store, and dispatch supplies.
- Maintain stock records and conduct regular stock checks.
- Ensure proper labelling and organisation of supplies.
- Support procurement processes and follow up with suppliers.
- Coordinate deliveries and assist with transport planning.
- Inspect goods for quality and accuracy.
- Prepare, batch, and pack items for timely dispatch.
- Plan, coordinate, and manage procurement according to schedules.
- Address procurement and stores-related issues in a timely manner.
- Maintain a clean and organised store environment.
- Ensure proper handling of supplies and update equipment records.
- Prepare inventory reports and update stock records.
- Coordinate with suppliers and users.
- Ensure health, safety, cleanliness, and security within the stores environment.
- Train personnel on established procedures and store management best practices.
- Manage inventory control processes in coordination with procurement, finance, and ministry teams.
- Analyse inventory, procurement, and transaction data and prepare reports.
- Conduct quarterly store checks and oversee disposal of stock.
- Generate monthly store reports.
- Ensure service and maintenance records for all equipment are updated and properly maintained.
Qualifications, Skills, and Experience
- Minimum of a Diploma in Business Administration, Economics, Procurement, Transport and Logistics, or a related discipline.
- Minimum of three (3) years’ working experience in a similar role within a school environment.
- Computer literacy in Microsoft applications.
- Ability to uphold organisational values with confidence and professionalism.
- Strong communication skills.
- High level of integrity, confidentiality, trust, sound judgment, and good work ethics.
- Ability to work within a team environment and under minimal supervision.
